How SafeBaby® Works – A Clear Explanation
SafeBaby® follows a step-by-step workflow that ensures each infant receives the correct feeding while keeping a detailed record of every step in the process.
1. Patient Setup and Identification
- When a baby is admitted to the NICU, their details are automatically transferred from the hospital’s Electronic Medical Record (EMR) system.
- Each baby is linked to a mother’s profile (whether or not a patient), which includes records of their expressed breast milk (EBM) and any other nutrition sources.
- SafeBaby® prints cribside labels and wristbands with unique barcodes to ensure proper identification before every feeding.
2. Receiving and Storing Milk & Formula
- Mothers express breast milk (EBM) and label each bottle with a barcode. The system verifies that the label matches the mother’s identity before accepting it into inventory.
- Donor milk, formula, and additives are also received into the system and assigned expiration dates.
- All milk and formula are stored in designated refrigerators, freezers, or storage bins, and SafeBaby® tracks their expiration dates and locations.
3. Preparing Feedings
- SafeBaby® automatically retrieves the feeding order based on the baby’s prescribed nutrition plan (EBM, donor milk, formula, and any additives).
- The nurse or technician scans the barcode on the selected bottles to ensure they match the baby’s feeding order.
- If fortifiers or additives are required, the system verifies the correct ingredients and amounts before allowing the feeding to proceed.
- Once the feeding is prepared, SafeBaby® prints individual feeding labels with expiration dates and feeding instructions.
4. Administering the Feeding
- Before feeding, the nurse scans both the baby’s ID wristband and the feeding label to confirm a match.
- If an error is detected (e.g., expired milk, wrong feeding), SafeBaby® stops the process immediately, preventing misfeeds.
- The feeding is then recorded in the system, which automatically updates the baby’s medical records (EMR).
5. Tracking and Reporting
- SafeBaby® maintains a complete record of every feeding, ingredient, and expiration date.
- The system generates reports on milk usage, inventory levels, feeding trends, and potential issues.
- If a product recall occurs, SafeBaby® can track all bottles affected by a specific lot number, allowing quick removal.
6. Patient Discharge and Inventory Management
- When a baby is discharged, SafeBaby® ensures that any remaining EBM, donor milk, or formula is either:
- Disposed of properly
- Sent home with the mother, with labels confirming it belongs to her baby
- The system updates hospital records, ensuring no untracked inventory is left behind.
